We all know that recurring issue that seems to rear its head every few weeks. The same thing gets discussed. The same workaround is applied. Then, like clockwork, it shows up again.

Sound familiar?

Every business has them. Those problems that feel like déjà vu. And if you’re not careful, they start to chip away at your time, your energy, and your trust in the team. But the good news is: there’s almost always a deeper cause. And more often than not, a better solution.

Start by naming it (properly)

We often rush to fix things without taking time to define what’s really going wrong. That’s how surface-level solutions get applied to deeper problems. So instead of thinking “we need better communication,” try asking: Where is communication breaking down? With who? How often? What are the real consequences?

Naming the problem well is half the solution.

Document the fix and share it

Here’s the bit that gets skipped: we solve something in a meeting or Slack thread, but never actually record it. So when the issue comes back around, no one remembers what worked. Or worse, you assume someone else is handling it the same way you did.

If it’s worth solving once, it’s worth writing down. Turn your fix into a system, a checklist, a template, or even a simple shared note. Make it findable. Make it clear.

Assign true ownership

Problems that keep bouncing around are often the result of shared assumption of responsibility, everyone thinks someone else is handling it. So it lingers.

If you want something done once and well, someone has to own it fully. Not just “keep an eye on it,” but take responsibility for building a long-term solution.

Build a “this again?” log

It sounds silly, but it works. Keep a running note where you write down every time you think: “Ugh, this again?”

After a couple of weeks, review the list. Are these one-off annoyances or patterns? Then block out a bit of time to dig into the most frequent ones. If something’s eating up your brainspace regularly, it’s costing more than you think.

Turn frustration into momentum

Every repeated problem is actually an opportunity in disguise—an invitation to build something better. And once solved properly, these issues often unlock more time, trust, and clarity than you expect.

The key is to stop treating them as minor irritations. Instead, treat them as friction points worth fixing. Once and for all.
